How to Name a Resume File Before You Apply

The filename is a tiny detail, but it is one of the first labels attached to your document after upload. A clear name helps a recruiter identify the file and helps you avoid sending the wrong version.

Use your name as the foundation

A simple pattern such as Firstname-Lastname-Resume.pdf is professional and easy to recognize. It works whether the file is saved in a recruiter's download folder, forwarded internally, or attached to an email.

Avoid generic names such as resume.pdf when possible. Many applicants use the same filename.

Add the role or company only when it helps you

If you tailor heavily, Firstname-Lastname-UX-Designer-Resume.pdf or Firstname-Lastname-Acme-Resume.pdf can help you track versions.

Keep the filename readable. You do not need the job ID, date, company, title, city, and version number all in one line unless your own system truly benefits from it.

Avoid 'final-final' version chaos

Use a simple folder or naming convention for your editable master and submitted copies. For example, keep one Master Resume and a folder of submitted tailored versions.

After applying, save the exact file you sent. That makes interview preparation easier because you can review the same version the employer received.

Keep filenames technically simple

Letters, numbers, hyphens, and underscores are reliable choices. Avoid unusual symbols and extremely long filenames that can behave inconsistently across systems.

Use the correct file extension and do not rename a DOCX file to .pdf or vice versa.

Double-check the document, not just the filename

A perfect filename does not help if the wrong company name is inside the document. Open the file one last time and check the summary, dates, links, and tailored wording.
