PDF or Word: Which Resume Format Should You Send?

PDF and Word are both common resume formats. The best choice is not a universal rule: follow the employer's instructions first, then choose the format that preserves the document and works with the application process.

Follow the application instructions first

If the portal or job posting asks for PDF, send PDF. If it asks for DOCX, send Word. If it accepts both, you can choose based on the document and workflow.

Do not ignore a requested format because a general resume article told you another format is always better.

PDF is strong for visual stability

A PDF is designed to preserve page layout across devices. That makes it useful when you want to keep line breaks, spacing, section positions, and page count consistent.

Before submitting, verify that the text remains selectable and searchable and that the PDF is not simply a screenshot of the resume.

Word is useful when editability or compatibility is requested

A DOCX file can be easier for a recruiter or staffing agency to edit, annotate, or import into a workflow. Some application systems specifically request it.

Word files can reflow slightly across versions, fonts, or devices, so open the downloaded document and inspect the final page before sending it.

Use a clear filename in either format

A filename such as Firstname-Lastname-Resume.pdf is easier to recognize than resume-final-new2.pdf. For tailored versions, adding the role or company can help you stay organized if the filename does not become excessively long.

Keep special characters out of filenames when possible because older systems can handle them inconsistently.

Keep a source copy you can edit

Even when you submit PDF, keep an editable Word file or the original builder draft so you can update dates and tailor content later.

Do not treat the submitted file as the only copy of your resume.
